Welcome to the Directorate of Undergraduate Studies (DUS) at Mzumbe University, a key academic directorate that oversees and coordinates all undergraduate academic affairs, ensuring that students have the support and guidance they need throughout their academic journey. The Directorate serves as the primary entity responsible for the academic and operational aspects of both undergraduate degree and non-degree programs, with a focus on maintaining academic excellence in line with national and international standards.

The Directorate plays a central role in advising the Deputy Vice Chancellor (Academic, Research and Consultancy) on all matters related to undergraduate academic affairs, ensuring that these activities are aligned with the University’s mission and in accordance with relevant national and international policies. The DUS is committed to enforcing compliance with policies, guidelines, and procedures related to the delivery of undergraduate programs, ensuring that academic standards are maintained across all levels.

Key responsibilities of the Directorate include:

  • Advising the Deputy Vice Chancellor (Academic, Research and Consultancy) on all issues related to undergraduate academic affairs, ensuring alignment with national and international academic policies and standards.
  • Enforcing compliance with policies, guidelines, and procedures in the delivery of undergraduate programs at the University, ensuring consistency and adherence to academic and operational protocols.
  • Coordinating undergraduate applications and admissions, overseeing the selection process, and ensuring that students meet the necessary requirements for enrollment in the University’s degree and non-degree programs.
  • Coordinating the registration of new and continuing students, ensuring that students are properly enrolled in courses and that all academic records are maintained accurately.
  • Coordinating the processing and issuance of academic certificates to graduates, ensuring that students receive their academic credentials in a timely and accurate manner.
  • Coordinating the preparation of the University Almanac, which includes the academic calendar, important dates, deadlines, and other critical information related to the academic year.
  • Coordinating examination matters, including overseeing examination schedules, procedures, and coordination with Senate meetings to ensure proper governance and academic integrity in the examination process.
  • Coordinating field studies for undergraduate students, ensuring that practical learning experiences are aligned with academic curricula and provide students with hands-on knowledge in their respective fields of study.
  • Disseminating information about undergraduate programs, in collaboration with the Communications and Marketing Unit (CMU), ensuring that all relevant information about the University’s undergraduate offerings is made available to prospective students, staff, and the public.
  • By maintaining high standards of operational efficiency and academic quality, the Directorate is dedicated to providing an inclusive and supportive environment for students. The DUS plays an integral role in ensuring that Mzumbe University’s undergraduate programs continue to meet the evolving needs of students, faculty, and the broader community, while preparing graduates to meet the challenges of the modern world.

The General Directorate Functions

The Directorate’s functions include policy and operational level coordination of undergraduate programmes in terms of quality control and assurance. More specifically the functions of the Directorate are:-

  • Advising the Deputy Vice Chancellor (Academic, Research and Consultancy ) on all issues related to undergraduate academic affairs in line with the national and international policies;
  • Enforcing compliance to the policies guidelines and procedures for the delivery of Undergraduate programmes at the University;
  • Coordinating undergraduate applications and admissions;
  • Coordinating registration of new and continuing students;
  • Coordinating the processing and issuance  of academic certificates to graduates;
  • Coordinating the preparation of the  University Almanac;
  • Coordinating examinations matters and Senate meetings;
  • Coordinating field studies for undergraduate students;
  • Disseminating in collaboration with the Communications and Marketing Unit (CMU), all the necessary  information related  to Undergraduate programmes offered at Mzumbe University;
  • Vetting of academic credentials submitted to various organizations by Mzumbe University graduates.

Department of Examinations

The Department of Examinations is one of the three departments within the Directorate of Undergraduate Studies (DUS). It is responsible for coordinating all matters related to student assessments and examinations. The Department oversees the administration and conduct of all University examinations, ensuring that they are carried out smoothly and in compliance with established regulations. It also addresses any student-related matters concerning examinations, such as inquiries and issues that may arise during the examination process. In addition, the Department is tasked with verifying the certificates of Mzumbe University graduates, ensuring their authenticity and accuracy. It also ensures the availability of necessary stationery and supplies for examinations and coordinates the external moderation of examinations to maintain high academic standards. Furthermore, the Department prepares the personalization of certificate names, after receiving approval from the Senate, and handles various matters from graduates, including requests for lost or damaged certificates.

Department of Admissions

The Department of Admissions, within the Directorate of Undergraduate Studies (DUS), is responsible for coordinating the admission, registration, and transfer processes for both undergraduate degree and non-degree students at Mzumbe University. Recognizing the impact of effective admissions on the quality and success of graduates, the Department collaborates with various University offices, including the Directorate of Finance, ICTU, Directorate of Students’ Services, Communications and Marketing Unit, and Quality Assurance Unit, to provide comprehensive support to prospective students. The Department’s key functions include providing up-to-date information on admission requirements, application deadlines, and procedures; processing and screening applications using an online system; and communicating admission decisions to applicants. It also handles student enrollment data, manages transfers in line with university regulations and TCU guidelines, and reports on student data within and outside the University. To increase student enrollment, the Department promotes academic programs through exhibitions, school visits, and advertising. Additionally, it serves as a liaison between Mzumbe University, TCU, government ministries, and other universities, ensuring alignment with national higher education policies. The Department strives to ensure a seamless admission experience for prospective students, supporting them throughout the application process and beyond, to their successful enrollment at Mzumbe University.
